How the notification process works
The notification system runs continuously in the background, checking for new leads every minute. The system follows a specific five-step pipeline to ensure leads are qualified before you are notified:
Visitor interaction: As a visitor chats with your AI assistant on your website, the bot attempts to collect configured lead attributes, such as an email address or phone number.
Conversation conclusion: After approximately 15 minutes of inactivity, the system considers the conversation finished and begins processing the data.
Lead qualification: The AI analyzes the transcript to extract attributes. A visitor is officially classified as a "Lead" if they provided at least one required qualification attribute, typically an email or phone number.
Summary generation: The AI generates a concise summary of the discussion alongside the attribute extraction.
Notification dispatch: Once a lead is confirmed, an email is automatically sent to all organization members. If you have a Zapier or Make integration configured, an event is dispatched at this same time.
The system processes up to five new leads per minute cycle, and the entire process is fully automatic once your initial setup is complete.
Managing notification recipients
Lead notification emails are sent to all members of your organization who have an email address on file. Because recipients are determined by your organization's membership, you do not manually add or remove individual email addresses from a separate notification list.
To add a recipient: You must invite the individual to your organization through the team management settings in the NoForm AI dashboard.
To remove a recipient: You must remove the user from your organization within the dashboard.
Opting out: Currently, there is no per-user toggle to opt-out of these emails. Every member of the organization will receive a notification for every lead captured by every bot owned by that organization.
What is included in a lead notification?
Every notification email is designed to give you a quick overview of the lead's needs and contact details. The email will arrive with the subject line "You have a new lead!" and will appear to be sent from your assistant's configured display name.
The body of the email includes:
Lead attributes: This section displays the information the visitor shared, such as their email, phone number, and any custom attributes like company name or budget (provided they are marked to be included in the summary).
AI-generated summary: A short recap of the conversation generated by the AI.
Visitor location: Geographic data including the city, region, and country derived from the visitor's IP (Internet Protocol) address.
Chat source URL: The specific page on your website where the visitor was interacting with the bot.
Direct dashboard link: A clickable link that opens the specific conversation directly in the Leads section of your NoForm AI dashboard.

Can I see the full chat history in the email?
The full chat history is not inlcuded to the email notification by default. You can contact our support team to request this to be enabled for your account.
How do I stop receiving notifications for a specific bot?
You cannot currently opt-out of notifications for specific bots if you are a member of the organization that owns them. All organization members receive notifications for every lead across all bots owned by that organization.
